White Swan Farm (whiteswan.u-neac.farm) is a work of White Swan Farm, a private irrevocable ecclesiastical trust (“we”, “us”). This page explains, in plain words, what information we keep, why we keep it, and the choices you have. The short version: we keep only what we need to serve you, we guard it, and we never sell it.
As a private ministry, we hold the records of our members and beneficiaries privately. We regard the privacy of those records as a right protected by the First and Fourth Amendments to the Constitution of the United States, and we share them only as this page describes.
What you give us
- Your account: your name, email address, phone number, and your pickup location or delivery address.
- Your application: the details on your beneficiary (membership) application, including your signature.
- Your requests: what you chose and when, so your history, reorders, Subscribe & Save and packing work properly.
- Payment: your card is held by Stripe, our payment processor. We never see or store your full card number; we keep only a secure reference that lets Stripe charge the card you saved.
- Notes you share: anything you write to us with a request (gate codes, wishes) so we can serve you well.
- Community: your name, email, and what you post: posts, comments, photos and event replies.
What is collected automatically
- Server records: like every website, our server records the internet address, browser and pages requested. We use these to keep the site running and secure, for example to slow down repeated wrong passwords.
- Email activity: our newsletter emails record whether they were opened and which links were clicked, so we know what is useful and can tell a real address from a mistyped one.
How we use it
- To review your application, pack and hand over your requests, charge the card you saved when a request is packed, and tell you what is happening (confirmations, packed notices, pickup reminders).
- To run the community: your account, confirming your email, showing your posts and keeping the community safe.
- To send you news, but only if you signed up for it (see “Emails” below).
- To protect the site, our members and our farms from abuse and fraud.
We do not sell your personal information, and we do not rent or trade our email list.
Emails
When you ask for something here (an account, a request, an application), we email you about it. News and updates go only to people who signed up for them, and every newsletter has an unsubscribe link. Unsubscribing from news never stops the emails you need for something you asked for, such as a sign-in code, a confirmation or a pickup reminder.
Cookies
- Sign-in cookies keep you signed in.
- Cart cookies remember what is in your cart and your pickup location.
You can block or delete cookies in your browser settings. The site still works, though you may need to sign in or enter your email again.
Who else sees it
Only the services that help us run the site, and only what they need:
- DigitalOcean hosts the website and its database (United States).
- Amazon Web Services delivers our emails.
- Stripe processes payments.
- Anthropic provides the AI behind the assistant our own team uses to run this site.
- Telegram carries private alerts to our own team when something needs our attention.
- Your pickup host or delivery volunteer sees the name and details needed to hand you your request.
We may also share information if the law requires it, or to protect the safety of our members, our farms or the public.
What other people can see
- In the community, other members see your name with your posts, comments and replies. Your email address is never shown to other members. We look over posts and may remove posts or block an email address to keep the community kind and safe.
How long we keep it
We keep your information while it is useful for the reason you gave it, and records of requests as long as we need them for our own accounts. Then we delete it or keep only what we must. Server records are kept for a short time for security. Ask us any time and we will delete your information, unless we are required to keep it.
Your choices
- Unsubscribe from news with the link in any newsletter.
- See and update your details any time under My Account.
- Ask us for a copy of the information we hold about you, or ask us to correct or delete it.
- Depending on where you live, you may have further rights under local privacy laws; we will honor them. Write to us and we will answer within 30 days.
Keeping it safe
The site is served over an encrypted connection, passwords are stored only in scrambled form, repeated wrong passwords are slowed down, and only our team can see your forms and applications. No system is perfectly secure, but we take care with what you trust us with.
Children
This site is for adults. We do not knowingly collect information from children under 13; if you believe a child has given us information, write to us and we will delete it.
Changes
If we change this policy, we will update the date at the top, and if a change is important we will say so plainly on this page.
